Our proactive approach to property maintenance will you save you money in repairs and will preserve the structural and mechanical functions of the property. We perform regular on-site property inspections to evaluate the real estate, and ensure compliance with rules and regulations. We work on-site with vendors and the association to ensure accurate completion of maintenance tasks, capital repairs, and improvements. Projects are put out to bid and we will work on your behalf to find the greatest value. Full Service Management Includes the following:
Administrative Service
Board Meeting Attendance: Your property manager will organize and attend up to 4 board meetings per year. Property manager will work with the trustees to establish an agenda, and will officially record all meeting minutes.
On-site Meetings: Your property manager will be available to meet with the association and/or contractors on a regular basis to facilitate repairs and improvements.
Annual Meeting: Your property manager will organize the annual meeting to discuss the short and long term goals of the association. We will present an annual report and recommended planning strategies.
Insurance Claims: File appropriate documentation to the insurance company when a claim needs to be filed. We will work with the insurance company from start to finish. This includes hiring third party inspectors if required, or obtaining repair estimates.
Rules & Fine Enforcement: As instructed we will enforce and levy fines accordingly.
Dispute Resolution: We professionally handle disputes that may arise. This includes delinquent condo fee accounts, failure to pay assessments, and vendor related issues.
Legal Coordination: Work with the association’s legal representation on issues such as amendments to the condo docs, by-laws, or collecting debts.
Owner & Resident Database: Maintain current records of all owners and residents. We will obtain leases for rented units to ensure conformity to the condo docs.
Welcome Packet: We provide all residents with a welcome packet explaining the transition, provided services, and our contact information.
Record Keeping: We will maintain a detailed file including all invoices, receipts, insurance binder, bylaws, master deed, and owner information.
Association Interaction: Communicate news, updates, repairs, and future plans to the entire association via email, telephone, text, fax, and/or standard mail.
Board of Trustees assistance: Assist the board of trustees with elections and resignations to ensure proper procedure is followed as defined by the condominium documents
Financial Services
Online Account Management: Log-in information will be provided to a customized web page specific to your association. All monthly reports, invoices, condo docs, and insurance information will be updated regularly, and is available for immediate download in pdf. format. You will have the option to set up a one time or recurring payment for condo fees, and submit maintenance request 24/7. We can post news, events, and updates as requested.
Banking: We work solely with Citizens Bank. We utilize many advanced banking services and techniques to more efficiently handle association funds, and reserves. We have a dedicated account specialist at Citizens Bank that evaluates each associations needs free of charge. Our agreement with the bank allows us to provide the association with a free bank account, and reserve account. There are no monthly maintenance fees.
Accounts Receivable: Collect all condo fees, insurance reimbursements, move in/out fees, and building violation fines. Our advanced banking software allows us to deposit checks at our office. This decreases the amount of time your funds are not receiving interest. This also allows us to keep the original check which will eliminate payment discrepancies.
Accounts Payable: All vendors are entered into our banking system and paid electronically through our banking institutions online portal. This comes with a guarantee from the bank that payments will be paid on time.
Financial Reports: Various types of reports can be generated on monthly, quarterly, and/or annual basis. Reports can be emailed, faxed, and/or mailed as requested. Our detailed reports are easy to interpret and will serve as an excellent reference for tax preparation and financial planning
Pursue Delinquent Accounts: We contact delinquent accounts over multiple media options including phone, email, text, and mail. We will facilitate payment plans as requested, and treat all parties with the utmost respect and professionalism.
Initiation and Organization of Assessments: When required we will assist the board of trustees in determining the appropriate assessment. We will then produce notices and invoices to involved parties. Assessment collection is handled through the accounts receivable department
Budgeting: Annual budget creation and maintenance will include an analysis of the reserve account to ensure that financial goals are accomplished. Proper planning will lower costs, provide adequate time for owners to prepare for changes, and ensure condo documents compliance.
Insurance evaluation & policy marketing: Annually we will request that the current insurance agent market the policy to different underwriters. We will also consult with outside agents to determine if a better value is available.
Maintenance Services
Vendor Relations: We will maintain a portfolio of licensed and insured contractors to complete basic repairs and maintenance. We accept 100% responsibility for vendor and contractor relationships .
Bid Process Organization: We will establish a detailed scope of work request and provide on-site explanation and expectations to potential vendors or contractors. We take pride in our abilities to find the greatest value in ongoing and individual service contracts.
24/7 Emergency Service: When unexpected situations occur we will be there to assist 24/7/365. Our property managers are provided with a wealth of resources and they are empowered to make decisions (and solve problems) immediately. Residents will receive our 24 hour hotline telephone number
Regular Property Inspections: Scheduled and unscheduled property inspections will occur on regular basis to identify areas of concern before they become problems. We monitor the work of vendors, locate maintenance issues, and ensure rules compliance.
Maintenance & Repair Schedule: We will prepare a report displaying all expected annual maintenance. This information will be provided to all residents as needed to keep everyone informed.
Proactive Maintenance Programs: After assessing the structural and mechanical functions of the property we will calculate estimated costs required to maintain necessary cash flow for operations. These programs are very attractive to both potential buyers and residents because it distributes costs over a long period of time, avoiding large one-time assessments.
In-House Service Technicians: We employ highly skilled and qualified maintenance technicians to assist with routine maintenance and repair. Please contact us for further details.
Pricing
Pricing for condominium associations and home owner associations are based on the number of unit in the association. We customize the service to meet the requirements of the association and price accordingly to provide the most competitive quote. Contact us for a detailed quote, or fill out the Request For Proposal Form. In most cases an association should expect to pay approx $25 -$30 per month, per unit for full service property management.
Transition To Presidential Properties
We will work with your previous management company and/or the board of trustees to recover all necessary information. A checklist will be provided noting all information required. In most cases this process will require little effort on the association’s part.
Once we have all required documents the association will be up and running within 48 hours. We send out a welcome packet to all owners, vendors, and other involved parties informing them of the change to Presidential Properties. We provide all parties with our contact information and instruct them to contact us with any questions regarding the transition.
The transition process also includes a complete assessment of the properties structural and mechanical functions, review of all maintenance contracts, insurance contracts, and a detailed report on our findings.
